If Your Passport is Lost or Stolen

If your passport is lost or stolen then you must report this to the Police immediately. You will receive a Police reference number or a crime reference number and you may also receive a Police report. Keep all of this information safe; you will need it in the future.

You also need to report it to your country’s Embassy or High Commission. You can find a directory of Embassy and High Commission’s within the UK here.

You will then need to apply for a replacement passport. The process of replacing your passport will vary depending on your country so you will need to check with your country's Embassy or High Commission on this.

If you lose your passport overseas then you will need to seek assistance from your own country's Embassy within the country you are currently in.

It may take a long time to get a replacement passport, depending on your nationality and where the loss takes place.

 

If your immigration permission (visa) was in the form of a vignette (a sticker) within your passport then once you have received your replacement passport you will need to apply to UKVI for a “Transfer of Conditions” to transfer your visa to your new passport. During this process, UKVI will issue you with a Biometric Residence Permit (BRP) card instead of another visa sticker.

Please see this UKVI webpage for the Transfer of Conditions online application form and guidance on how to complete it. The application costs £161 by post. You will be required to enrol your biometric information as part of the application process. Postal applications can take approximately 6 - 8 weeks to process therefore, if you have urgent travel plans you need to apply through the super priority service as you will receive a decision the day after you attend your appointment at the Visa Service Centre.

The application form is straight forward so you can apply yourself but you will need to email us a scan of your new BRP card to visa@manchester.ac.uk

You should include the following documents:

  • your new passport;
  • a Police report or Police reference number;
  • a confirmation of attendance letter (which you can obtain from the Student Services Centre);
  • and if possible copies of the visa and passport that was lost.

It can take 8 weeks for your transfer of conditions application to be processed through the standard service. During that time, it is vital that you do not allow your visa to expire – this remains your responsibility. If your visa is going to expire whilst you’re waiting for your BRP card then you should make a new Student visa application and include a covering letter to explain why you cannot provide your Passport/BRP within your application. You should seek advice from us in this instance.

YOU SHOULD NOT BOOK ANY TRAVEL UNTIL YOU HAVE YOUR NEW BRP CARD. Doing so is entirely at your own risk. We strongly recommend waiting until you have received your BRP card safely. If you leave the UK while your transfer of conditions application is pending your application will be withdrawn automatically when you leave the UK.

You should receive your new BRP card within 7 - 10 days of receiving the decision letter. If you have not received your BRP card contact UKVI.

If your immigration permission (visa) was in the form of a vignette (a sticker) within your passport and you need to return to the UK then you will have to make an application for a "Vignette Transfer" from the country that you are in to replace the immigration permission in the old passport that was lost/stolen. 

You must report the loss or theft of your passport to the Police and obtain a Police report or crime reference number. You should then apply for a replacement passport/temporary passport at the nearest embassy for your country.

Once you have these documents you can then apply online and pay the fee of £154. You do not need to request a new CAS for this. When asked to select a visa type, you should choose ‘BRP Vignette Transfer’.

  • You should use the 'additional information' section of the application form to explain why you are applying without a CAS number i.e. your passport containing your immigration permission was lost/stolen; you have enclosed the police report; you have obtained a new passport.
  • You should include your new passport/emergency travel document, your Police report, a copy of your old passport and immigration permission and a confirmation of attendance letter from the University that confirms you are a registered student with us (you can email the Student Services Centre for this letter).
  • If necessary, we can email you a copy of your passport and immigration permission as well as your most recent CAS number.
  • You will need to enrol your biometric information again as part of the application.
  • Check how long applications are taking in the country you are applying in. You may have to stay in that country for around 3 weeks and this may be expensive for you. If you cannot afford to stay in the country that you are in you may have to fly to your home country and make the application from there instead of applying in the country where you lost your passport.
  • If you make an application in your home country, you must have a new passport. You cannot use an emergency travel document.
