Using SEAtS

At the start of each timetabled on-campus taught activity, the activity leader will use SEAtS to generate and share a time-limited code that you can use to check-in. You’ll then enter this on your SEAtS mobile app. For smaller sessions, your activity leader may choose to use a digital register to check you in instead.

If you forget to log in, you will be marked as ‘absent’ for that teaching session.

The QR and PIN codes will be valid during your teaching session, and for ten minutes prior. Your lecturer will show the codes during the session, so please arrive on time to check in without disruption.

If your attendance becomes lower than expected, your Student Support and Wellbeing team will contact you by email to check that you’re okay and to find out if you need any further support.  Our primary focus is to ensure student wellbeing and to make sure that you have the support you need to meet the attendance requirements of your course.

You may be offered a meeting with your School’s Student Support and Wellbeing team or your Academic Advisor if your attendance continues to be a concern. For students studying on a student visa, please remember that the terms of your visa also have an attendance requirement. If you continue to not meet the minimum expected attendance for your course, further action may need to be taken.

Yes, all full-time, undergraduate and postgraduate students with primarily on-campus, timetabled taught sessions will be expected to use SEAtS. Your School will contact you with information if you don’t need to use SEAtS.

If you don’t have access to a working smartphone, it’s possible to use the SEAtS web portal on a laptop or a desktop computer. This is also the case for students with devices that can’t access the Apple App Store or the Google Play Store to download the SEAtS app.

Teaching staff may also take attendance manually for smaller sessions, such as seminars, using a digital register.

If your session is scheduled for more than 6 days from now, it won’t be visible in SEAtS.

We encourage active participation in all learning activities through regular attendance. Attendance is crucial for maximising your learning, building relationships, and achieving your academic goals. Regular attendance allows you to engage with course material, interact with your classmates, and meet the requirements of your course. Please refer to your course handbook for specific attendance guidance and expectations and if you have any concerns, you can reach out to your Academic Advisor.

Absence

You can log an absence through SEAtS. Make sure you specify the reason you will be absent using the drop-down menu. If none of the absence options are relevant, then you can use the ‘other’ option and add comments with reasons for your absence. Here is the guide to logging an absence. 
You can still log this absence through the app, make sure that you leave a comment to explain the unforeseen circumstance. 

If you have not checked into your session, it is not possible to have an absence record amended. If you have an occasional absence record in SEAtS, this will not impact your progress negatively, however if you persistently miss taught sessions/don’t check in, you will receive communications from your School team.

The DASS team do explain to your School that you might sometimes struggle to physically attend your course as a result of your disability. Do be aware that some courses have attendance requirements and you should check these. Students are now required to check in to all on-campus, taught sessions using the SEAtS app, so if you’re not able to attend University, wherever possible we’d advise you to:
 
· submit an absence request via the SEAtS app, find help to do this here;
· let someone in your School know (e.g. your School Disability Coordinator) so they can support you. You can find more information on the DASS website;
· apply for mitigating circumstances as soon as you can if this is impacting on your study;
· reply to the School Student Support & Wellbeing team if they contact you about absence and let them know that it’s disability related;
· if you are a student visa holder, you may wish to contact the Student Immigration Team for advice around the impact of significant absence on your student visa.
Students can be enrolled onto a unit as an ‘audit’ student for many different reasons. However, this will mean that any teaching activity scheduled for the unit will appear on your SEAtS profile.
If you do not need to attend the teaching for the unit, then you can simply log an absence in the SEAtS app and select ‘Audit Course’ for the reason.

Timetable issues

If your timetable is not showing on SEAtS or MyManchester, you need to contact the Curriculum and Programmes Team in your School. Their contact details are in your course handbook.
If your timetable is showing in MyManchester but NOT SEAtS, you can report this here: SEAtS Support Request.
If this problem persists and you continue to receive absence records because of timetable issues, you can complete this form to outline the issues and request an absence correction. 
Speak to your schools Programmes & Curriculum team to see if your timetable can be amended.
If not, and you're going to miss an activity as a result, you can log an absence on the SEAtS app. This will be checked by your school and then approved.

In your teaching sessions

SEAtS only records attendance for your timetabled classes. If you're attending a different class than the one on your timetable, you can let your lecturer know.
The university expects students to be truthful about their attendance. Students should only record their own attendance and must not share QR or PIN codes with anyone else. Please refer to the Conduct and Discipline of Students document.
You need to register your attendance for all on-campus learning. SEAtS will not be used to mark attendance for any virtual, hybrid or off-campus learning.
Yes, if you have separate lectures back-to-back in the same room, you need to register your attendance for each individual lecture. If a lecture is a double session e.g. 9-11am you will check-in once. 

If your lecturer shows the code at the beginning of a taught session and you miss it because you are late, you will receive an absent mark. It is up to the lecturer whether or not they show the code again at a later point. If you do have an occasional absence record in SEAtS, this will not impact your progress negatively, however, if you persistently don't check-in due to being late, you will begin to receive communications from your School team.

Technical issues

If the QR code does not work, you need to cancel your check in. You can then check in again and log your attendance using the six-digit PIN that should be shared along with the QR code. 

The SEAtS system will recognise when no QR or PIN code has been shared. This will show as an absent mark in your app but will not negatively impact your academic progress.

You can remind your lecturer to share the QR or PIN code, they may have simply forgotten. 

If this problem persists and you continue to receive absence records because of codes not being displayed, you can complete this form to outline the issues and request an absence correction.

SEAtS defaults to just show mandatory classes in your attendance average but if you'd like to change this please go to 'settings' and use the slider to select 'Attendance % includes optional classes.'

Privacy & Security

All data from the SEAtS system will be kept internally within the University and won’t be shared externally. Your data will be kept in-line with our Data Protection and Information Security policies.

Supporting you

The Student Support and Wellbeing teams within your School are essential to helping you enjoy a positive and successful University experience, and your Academic Adviser is there to support you throughout your studies. Your engagement and attendance can be key indicators of your progress, so Student Support and Wellbeing teams and Academic Advisers use SEAtS to understand your engagement levels with taught activities.

If you frequently miss your scheduled sessions, or your Academic Adviser believes you need additional support, they’ll reach out to discuss your progress and any factors affecting your studies. This approach is part of our commitment to helping you achieve your full academic and personal potential and it’s your responsibility to engage with them when they contact you.
